Since our mystery school fortunately grows more and more and fortunately more spiritual mentors help us with our work, it necessary to establish rules for the general form of the records in order to save us unnecessary work. We ask for your understanding in this matter. Without this format we have to waste a lot of time just to put the records in a usable form or to find the relevant information in chaotically arranged notes. Therefore we decided to ask all students to comply with the following rules.
Please write all records of one month in one single text document (MS word or rtf) free of viruses. Please no docx! And no other formats! (Please include all notes, records, records of rituals etc. of this period in one single text document. Place the record about the last meeting at the beginning of the diary and the records of rituals all together at the end of the diary. The only exception are texts, essays, drafts of rituals or pictures you have written. These may be send in a separate document.1)
For a better overview the document should have the following title:
Please write the first 9 months and days (from 1 to 9) as 01, 02, 03, etc...
Some people may not understand why we ask for a certain form of title for the documents. Often we receive records simply called "Record". In order to keep an overview we first have to rename those records before we can work on them. All these rules will help us to make our work more well-organized and therefore easier.
On top of the first page of the text document the following information should be written:

Status of Training: (for example member, neophyte, first level, second level, third level) Events until now: (since beginning of your training or since achievement of the first or second level - including the naming of all events) Rituals until now: (since beginning of your training or since achievement of the first or second level - including the naming of all rituals) Online Course: (Please give the full number and toppic of the unit of our "One Year Online Course in the basic Theory and Principles of the Mystical Qabbalah and the Western Mystery Tradition" you are currently working on. If you have completed the course simply write "graduate" and your final result (i.e. passed, merit, distinction, high distinction). Other Activities: (for example participation in study groups, ritual groups, online groups, acting as moderator etc....) Spiriual Mentor: name oder first name (or none3)

Similar to the form of the records this overview can be copied easily to every new diary simply using the "copy & paste" function. Only the date and other data which have changed need to be updated and/or added. This hardly causes any work to students but increases the overview considerably.
If you are a member of the outer court of the Brotherhood of the Eternal Light, send this report of your monthly notes by email to your spiritual mentor, or, if you do not have a spiritual mentor yet, to the current organisational email address. (If you are not a member yet please send the report together with the application questionnaire to: (reports without membership application cannot be processed.)
Your email should have a subject in due form such as:
diary from day month to spiritual mentor (name or first name)
For example: diary from January 31th to spiritual mentor John
It is not necessary to mention your own name here because this information can be seen from your email address.
(The date in the subject should be the date of the last entry in that month. It should be added here because unfortunately records are often submitted late and in this case the date of the email is misleading.)
In general we will forward diaries to the spiritual mentors, therefore it saves us a lot of time (especially with an increasing number of spiritual mentors and students) if the name of the spiritual mentor is already mentioned in the subject line.
